Parent and Student User Agreement
The agreement between Prime Minds Academy and the parent or guardian who opens an account for a student in Grades 1–8.
Prime Minds Academy is an online tuition service for students in Grades 1–8. We are based in Sri Lanka and teach families wherever they live.
This agreement is between the academy and the parent or guardian who opens the account. It is written in plain language on purpose: you should be able to read it once and know exactly what to expect from us, and what we expect from you.
1. Accepting this agreement
You accept this agreement when you tick the box during signup. We record the date and the version you accepted against your account, so both sides can see what was agreed.
If we change this agreement in a way that affects you, we will publish the new version and ask you to accept it the next time you sign in. Continuing to use the platform after that point means the new version applies.
2. The account and who is responsible for it
The account is held in the student's name, but the parent or guardian is responsible for it. That includes the accuracy of the details you give us, keeping the password private, and everything done through the account.
Each student receives a student ID, shown on the dashboard, in the form S1042. Quote it whenever you contact the office or make a payment.
- One account per student. Please do not share a login between children.
- Tell us promptly if you think someone else has your password.
- Keep your contact number and time zone up to date — we use your time zone to show every class time in your own clock.
3. What we provide
Lessons are 90 minutes and run weekly at an agreed slot. A class is either one-to-one or a small group of three to five students in the same grade band.
The academy assigns the teacher and creates the class. Your teacher publishes the meeting link on the class, and it appears on your dashboard as soon as they do. Lessons are delivered over the teacher's own meeting platform, such as Zoom, Google Meet or Microsoft Teams.
Class slots are agreed in Sri Lanka time and shown to you converted into your own time zone.
4. Attendance, missed lessons and credit
Your teacher marks each session as delivered once it has been taught. You see the same record on your dashboard, so the count a payment rests on is never a surprise.
If a one-to-one lesson is not delivered, its value is carried forward and credited against the next block, so you never pay twice for the same lesson. In a group class, a single student being absent does not create a credit, because the lesson still ran for the rest of the group.
- Please tell us in advance if your child cannot attend.
- If a teacher cannot teach a session, we will reschedule it or credit it.
- You can ask to move a class from My classes. The office reviews the request and replies in Messages.
5. Fees and how payment works
Tuition is billed in blocks of four sessions rather than by calendar month, so you pay for lessons rather than for weeks. An invoice is raised when a block opens, and the amount for your grade and class type is shown on your Fees page before you pay.
Pay by bank transfer quoting your payment reference, which combines your student ID with the subject, for example S1042-MAT. Then submit the date you paid and the reference you used on the Fees page. The office checks it against the bank statement and marks it Confirmed. Until then it shows as awaiting verification.
- Payment is due within two weeks of the block opening.
- We charge no late fees, no penalties and no interest, ever.
- If a block is still unpaid after its second completed session, the join link for that class is hidden until you submit your payment. Nothing else about the account changes.
- If money is tight, contact the office before the next lesson. We would far rather agree a later date than have a child lose their class.
6. Refunds and stopping classes
Tell the office if you want to pause or stop a class. We will close the current block at the last delivered session, and any lesson you have paid for but not received is refunded or credited, whichever you prefer.
We do not refund lessons that have already been taught.
7. Behaviour and online safety
We expect everyone — students, parents and teachers — to be courteous in lessons and in messages. For younger children, please have an adult nearby during lessons and help them join on time.
- Do not share class links with anyone outside the class.
- Do not record, photograph or publish a lesson, a teacher or another student without the academy's written permission.
- Do not attempt to access parts of the platform that are not yours, or to disrupt it for others.
- Report anything that worries you about a lesson to the office straight away.
8. Contact with teachers
Arrange everything through the academy rather than privately with a teacher. Teachers' personal contact details are not published, and we ask families not to seek them out. It protects both sides and keeps a record if a question ever arises.
9. Suspending or closing an account
We may restrict or close an account for misuse, fraud, abusive behaviour, or repeated breaches of this agreement. Where it is fair to do so we will warn you first and explain what needs to change.
You can ask us to close your account at any time. Section 6 covers what happens to a block in progress.
10. Limits of what we promise
We work hard to keep lessons running, but we cannot promise the platform will never be unavailable, and we are not responsible for your own internet connection, device or power supply. If a lesson is lost because of a problem on our side or the teacher's, we reschedule or credit it.
Nothing in this agreement limits any right you have under Sri Lankan consumer law.
